This Privacy Policy applies to all users of the GikoTasks platform — including Clients who book services, Taskers who provide services, and visitors to gikotasks.com.

By registering an account or using the GikoTasks platform in any way, you agree to the collection and use of your information as described in this Privacy Policy.

If you do not agree with any part of this policy, please do not use the GikoTasks platform.

1. Who We Are

GikoTasks is an online marketplace platform operated in Kigali, Rwanda, that connects clients seeking home services with independent service providers ('Taskers'). GikoTasks operates as a technology intermediary and is not itself a service provider.

When this Privacy Policy refers to 'GikoTasks', 'we', 'us', or 'our', it refers to the GikoTasks platform and its operator. When it refers to 'you' or 'your', it refers to you as a user of the platform — whether as a Client, a Tasker, or a visitor.

2. Information We Collect

We collect information from you in order to operate the GikoTasks platform, process bookings, facilitate payments, and ensure the safety and accountability of all users. We only collect what is necessary to deliver these functions.

2.1 Information You Give Us Directly

When you register as a Client:

  • Full name
  • Phone number (used as your primary account identifier)
  • Neighborhood or area within Kigali
  • Preferred language (English or Kinyarwanda)
  • Profile photo (optional)
  • Booking history and service preferences

When you register as a Tasker:

  • Full name
  • Phone number
  • National ID number and a copy of your Rwanda National ID (front and back)
  • A selfie photograph for identity verification
  • Neighborhood or service area within Kigali
  • Skill categories and years of experience
  • Your hourly or job-based rates
  • References — names and phone numbers of two prior employers or clients
  • Work samples or portfolio photos (optional)
  • MTN MoMo or Airtel Money account number for payment disbursement
  • Police clearance certificate (uploaded during onboarding)

When you make or receive a booking:

  • Service type requested
  • Job description and any photos uploaded
  • Booking date and time
  • Service location — address or map pin within Kigali
  • Before and after photos of the job (uploaded by Tasker upon completion)
  • Ratings and written reviews submitted after job completion

2.2 Information We Collect Automatically

  • Device type and operating system
  • Browser type and version
  • Pages visited on gikotasks.com and time spent on each page
  • IP address and approximate location derived from IP
  • Referral source — how you arrived at gikotasks.com
  • Booking and transaction logs

2.3 Information We Receive from Third Parties

  • Payment confirmation data from MTN MoMo and Airtel Money APIs — we do not store full payment credentials
  • SMS delivery confirmations from Africa's Talking messaging gateway
  • Reference check information — verbal information provided to us by the references that Taskers supply

3. How We Use Your Information

We use the information we collect for the following specific purposes:

3.1 To Operate the Platform

  • Create and manage your account
  • Match Clients with available Taskers in the correct neighborhood and skill category
  • Process and confirm bookings
  • Display Tasker profiles, ratings, and reviews to Clients
  • Enable communication between Clients and Taskers through the platform

3.2 To Process Payments

  • Initiate payment collection from Clients via MTN MoMo or Airtel Money upon booking
  • Hold payment in escrow until job completion is confirmed
  • Release payment to Tasker's MoMo account within 24–48 hours of confirmed completion
  • Process refunds in the event of a cancellation or upheld dispute
  • Generate transaction records for your booking history

3.3 To Ensure Safety and Trust

  • Verify Tasker identity using national ID documents
  • Contact references provided by Taskers before platform activation
  • Review police clearance certificates submitted during onboarding
  • Maintain a log of all bookings, communications, and job photos for dispute resolution
  • Apply our 3-strike system and suspend or remove accounts where violations occur

3.4 To Communicate with You

  • Send booking confirmation notifications via WhatsApp and SMS
  • Notify Taskers of new job requests and Client messages
  • Send platform updates, policy changes, and important account notices
  • Respond to your questions and complaints through our WhatsApp support line

3.5 To Improve the Platform

  • Analyse usage patterns to understand which features and service categories are most in demand
  • Identify and fix technical problems
  • Develop new service categories based on user demand
  • Improve the Tasker vetting and quality control process

3.6 Legal and Compliance

  • Meet our obligations under Rwanda law, including the Law No. 058/2021 of 13/10/2021 Relating to the Protection of Personal Data and Privacy
  • Respond to lawful requests from Rwandan government authorities
  • Resolve disputes and enforce our Terms of Service

4. How We Share Your Information

We do not sell your personal information to third parties. We do not allow advertisers to access your personal data. We share your information only in the following limited circumstances:

4.1 Between Clients and Taskers

When a booking is confirmed, GikoTasks shares limited information between the Client and the Tasker to enable the service to take place:

  • The Client's first name, neighborhood, and booking description are shared with the assigned Tasker
  • The Tasker's full name, profile photo, skill category, rating, and review history are visible to Clients on their profile
  • Exact home addresses are only shared at the point of booking confirmation — not during browsing

4.2 Service Providers We Work With

We share data with third-party service providers who help us operate the platform. These providers are bound by their own privacy policies and data protection obligations:

  • MTN MoMo — payment processing. Their privacy policy applies to payment data.
  • Airtel Money — payment processing. Their privacy policy applies to payment data.
  • Africa's Talking — SMS and WhatsApp message delivery for booking notifications
  • Cloud hosting provider — secure server infrastructure for platform data storage
  • Google Maps / Mapbox — location mapping for neighborhood and address display

4.3 Legal Requirements

We may disclose your information to Rwandan law enforcement, regulatory authorities, or courts when we are required to do so by law, when we receive a lawful written request, or when disclosure is necessary to protect the safety of any person.

4.4 Business Transfer

If GikoTasks is acquired, merged with another company, or its assets are transferred, your personal information may be transferred to the acquiring entity. You will be notified via WhatsApp or the contact information on your account before any such transfer takes effect, and the new operator will be bound by this Privacy Policy.

What We Never Do

  • We never sell your personal data to marketers, data brokers, or advertisers.
  • We never share your National ID details or police clearance with any party except for identity verification purposes.
  • We never share your MoMo account number with Clients or other Taskers.
  • We never share your home address or service location beyond what is necessary to complete a confirmed booking.

5. Payment Information and MoMo Integration

GikoTasks uses MTN Mobile Money (MoMo) and Airtel Money as its primary payment methods via their official APIs. We do not store your full MoMo PIN, bank account details, or card numbers on our servers.

5.1 What Happens When You Pay

  • When a Client confirms a booking, GikoTasks initiates a payment request to the Client's MoMo number via the MTN MoMo Collections API
  • The Client approves the payment on their own phone using their MoMo PIN — GikoTasks never has access to your PIN
  • Payment is held on the GikoTasks platform account until the job is confirmed complete
  • Upon completion confirmation, GikoTasks disburses payment to the Tasker's MoMo number via the MTN MoMo Disbursements API
  • A transaction reference number is generated for every payment and stored in your booking history

5.2 Data Stored Relating to Payments

  • Your MoMo phone number (used to initiate payments and receive disbursements)
  • Transaction reference numbers
  • Payment amounts and dates
  • Payment status — pending, completed, refunded, or failed

6. Location Data

Location information is necessary for GikoTasks to function — we need to match Clients with Taskers in the same neighborhood and display service coverage areas.

6.1 How We Collect Location Data

  • When you register, you select your neighborhood or area within Kigali — this is stored as your location preference
  • When you create a booking, you provide a service address either by entering a text address or dropping a pin on the map — this is stored for that specific booking only
  • If you grant browser location permission, we may use your device's GPS coordinates to suggest your nearest neighborhood — you can deny this permission without affecting platform use

6.2 How Location Data Is Used

  • To display Taskers available in your neighborhood
  • To share the service address with the assigned Tasker upon booking confirmation
  • To calculate distance between Tasker and Client for availability matching

6.3 Location Data We Do Not Collect

  • We do not track your real-time location continuously
  • We do not share your home address with any third party beyond the assigned Tasker for a confirmed booking
  • We do not store GPS coordinates beyond what is necessary for an active booking

7. Tasker Vetting and Background Information

To ensure the safety of Clients, GikoTasks collects sensitive information from Taskers during the vetting process. This section explains exactly how that information is handled.

7.1 National ID Information

  • Taskers submit a photo copy of their Rwanda National ID (front and back) and a selfie during registration
  • This information is used solely to verify the Tasker's identity before platform activation
  • National ID information is stored securely and is never shared with Clients or other Taskers
  • National ID photos are accessible only to GikoTasks operations staff involved in the vetting process

7.2 Police Clearance Certificates

  • Taskers upload a police clearance certificate as part of the onboarding process
  • This document is reviewed by GikoTasks operations staff and stored securely
  • It is not shared with Clients, third parties, or displayed publicly in any form

7.3 Reference Checks

  • Taskers provide two reference contacts — names and phone numbers — during registration
  • GikoTasks contacts these references by phone to verify the Tasker's work history and character
  • Notes from reference calls are stored internally and used only for vetting decisions
  • Reference contact information is not shared beyond the vetting team

7.4 Retention of Vetting Documents

Tasker vetting documents — including ID copies and police clearance certificates — are retained for the duration of the Tasker's active period on the platform plus 12 months after account closure, in case of any dispute or legal requirement. After that period, documents are permanently deleted.

8. Communications and Notifications

GikoTasks communicates with users primarily via WhatsApp and SMS. By registering on the platform, you consent to receive the following types of communications:

8.1 Transactional Messages (Cannot be Opted Out of)

  • Booking confirmation when a service is successfully booked
  • Job request notifications sent to Taskers when a new booking matches their category
  • Payment confirmation when a MoMo transaction is completed
  • Booking cancellation or rescheduling notifications
  • Dispute resolution updates when a complaint is under review
  • Account suspension or removal notices

8.2 Platform Communications (Can be Opted Out of)

  • New service category announcements
  • Platform feature updates
  • Seasonal promotions or referral program notifications
  • Tasker quality review reminders

To opt out of non-transactional communications, send a WhatsApp message to the GikoTasks support number stating 'Opt out of promotional messages'. Transactional messages cannot be disabled as they are necessary for the platform to function.

9. Cookies and Tracking

GikoTasks uses cookies and similar tracking technologies on gikotasks.com to make the website function correctly and to understand how users interact with it.

9.1 What Are Cookies

Cookies are small text files stored on your device by your browser when you visit a website. They help the website remember your preferences and session information between pages and visits.

9.2 Cookies We Use

  • Session cookies — keep you logged in as you navigate between pages. These expire when you close your browser.
  • Authentication cookies — remember that you are logged in so you do not need to sign in on every visit
  • Preference cookies — remember your language choice (English or Kinyarwanda) between visits
  • Analytics cookies — help us understand which pages are visited most and how users move through the site. This data is aggregated and anonymous.

9.3 Managing Cookies

You can control and delete cookies through your browser settings. Disabling all cookies may prevent some features of gikotasks.com from working correctly, including the ability to stay logged in.

10. Data Retention

We keep your personal information for as long as is necessary to provide the GikoTasks service and to comply with our legal obligations. The following retention periods apply:

11. Your Rights Under Rwanda Law

Rwanda's Law No. 058/2021 of 13/10/2021 Relating to the Protection of Personal Data and Privacy grants you specific rights regarding your personal information. GikoTasks is committed to upholding these rights.

11.1 Your Rights

Right to Access

You have the right to request a copy of the personal data GikoTasks holds about you. We will provide this within 30 days of receiving a valid request.

Right to Correction

If any personal data we hold about you is inaccurate or incomplete, you have the right to ask us to correct it. You can update most of your information directly in your account settings. For ID or vetting documents, contact us directly.

Right to Deletion

You have the right to request deletion of your personal data. We will delete your account and associated data within 90 days of a valid deletion request, subject to retention requirements under Rwanda law including financial records retention periods.

Right to Object

You have the right to object to the processing of your personal data for marketing and promotional purposes. You may not object to processing that is necessary to deliver the core GikoTasks service, as this is based on our contractual relationship.

Right to Data Portability

You may request an export of your personal data in a readable format. We will provide your booking history, account information, and ratings data in a structured format within 30 days.

11.2 How to Exercise Your Rights

To exercise any of the rights above, contact us via WhatsApp or by email at [email protected]. Include your full name and the phone number associated with your account. We may need to verify your identity before processing the request.

11.3 National Data Protection Authority

If you believe GikoTasks has not handled your personal data in accordance with Rwanda law, you have the right to file a complaint with the National Cyber Security Authority (NCSA) of Rwanda, which oversees data protection compliance in Rwanda.

12. Data Security

GikoTasks takes the security of your personal information seriously. We implement the following measures to protect your data:

12.1 Technical Measures

  • All data transmitted between your device and gikotasks.com is encrypted using HTTPS/TLS
  • Passwords are hashed and salted — we cannot read your password, and neither can our staff
  • Database access is restricted to authorised technical staff only
  • Payment processing is handled through the official MTN MoMo and Airtel Money APIs — your MoMo PIN never passes through our servers
  • Regular security updates are applied to our hosting infrastructure

12.2 Operational Measures

  • Access to sensitive Tasker vetting documents is restricted to operations staff directly involved in the vetting process
  • Staff with access to personal data are trained on data handling obligations
  • Booking and dispute records are accessible only to the relevant parties and GikoTasks operations staff

12.3 In the Event of a Data Breach

If GikoTasks experiences a data breach that puts your personal information at risk, we will notify affected users via WhatsApp or SMS within 72 hours of becoming aware of the breach. We will also notify the National Cyber Security Authority of Rwanda as required under Law No. 058/2021.

Limitation of Liability

While we take all reasonable steps to protect your data, no internet-based platform can guarantee 100% security. GikoTasks is not liable for breaches that result from events beyond our reasonable control, including cyberattacks on our hosting infrastructure. We encourage you to protect your own account by keeping your phone secure and not sharing your MoMo PIN with anyone.

13. Children's Privacy

GikoTasks is not intended for use by persons under the age of 18. We do not knowingly collect personal information from anyone under 18 years of age.

If you are a parent or guardian and you believe your child has registered on GikoTasks without your consent, please contact us immediately via WhatsApp. We will delete the account and all associated data promptly upon verification.

Taskers must be 18 years of age or older to register on the platform and accept bookings. Age is verified during the National ID vetting process.

14. Third-Party Links and Services

GikoTasks may contain links to third-party websites or integrate with third-party services including payment providers, mapping services, and messaging gateways. This Privacy Policy applies only to gikotasks.com and the GikoTasks platform.

When you click a link to a third-party website or interact with a third-party service, you leave the GikoTasks platform and that third party's privacy policy governs how your data is handled. We encourage you to review the privacy policies of:

  • MTN MoMo — for payment processing data
  • Airtel Money — for payment processing data
  • Africa's Talking — for SMS and WhatsApp messaging data
  • Google Maps — for location and mapping data

GikoTasks is not responsible for the privacy practices or content of any third-party websites or services.

15. Changes to This Policy

GikoTasks may update this Privacy Policy from time to time as the platform grows, as new services are added, or as Rwanda's data protection laws are updated. When we make changes, we will:

  • Update the 'Effective Date' at the top of this document
  • Post the new version at gikotasks.com/privacy
  • Notify all registered users via WhatsApp when a significant change is made

Your continued use of GikoTasks after a policy update constitutes your acceptance of the revised Privacy Policy. If you do not agree with the changes, you may close your account by contacting us via WhatsApp.

We recommend reviewing this Privacy Policy periodically to stay informed of how we protect your information.
